Sales Orders Overview

Sales Order Overview


On the left Navigation there is the Sales option. Selecting this will you see a table of Sales Orders in the system along with the following information:


  • SO Number
  • Customer name
  • Status - Draft, Issued, Overdue, Cancelled, Partially Paid, Paid
  • Last Updated
  • Total


Use the Filter function to sort and search for the Sales Order you are looking for.

Create a Sales Order


  1. Navigate to Sales then click on Create New
  2. Enter the Sales Order number manually or let the system select the next available number automatically
  3. Enter the Customer data (Name, contact, email, address, etc.) Customers from your CRM can be found with type to search. The CRM data on that customer will populate all the necessary field.
  4. Dates can be selected, although there are some dates automations to take note of. See below for a dates explanation.
  5. To add an item to the Sales Order, type the Item Name in the search field and fill in the additional information.
  6. Taxes will be calculated by the selected Tax Schema.
  7. Discounts & Shipping numbers and can be entered manually
  8. It is optional to add an "Note" to the Sales Order. If a text is entered here, it will appear at the bottom of the issued Sales Order PDF.



Dates Overview


  • Order Date - This is a manually entered date for your organization to know when the customer placed the order. However, if the SO moves to Issued status and there is no date entered in the Order Date field, the system will apply today's date.
  • Issued Date - This is the official date that invoice was issued (sent to the customer). Once issued the SO cannot be edited. Again, if the SO moves to *Issued * status and there is no date entered in the Issued Date field, the system will apply today's date.
  • Due Date - Based on the payment terms of the customer, the Due Date will automatically be calculated. It is based on the number of days entered into the Payment terms field. This can be manually entered as well. 


Edit a Sales Order


To edit a Sales Order, navigate to Sales in the left main navigation and select the SO that you want to edit. NOTE: you can only edit Sales Orders that are in the status: Draft . Once they are in the status Issued, they can no longer be edited. However, a SO can be CANCELLED after the Issued status. Only Draft Sales Orders can be fully deleted. Once you have completed editing the SO, click Save, and your Sales Order will be updated.



Exporting a Sales Order


You can export a SO to a PDF and time. Simply select the action button at the top right of the screen and select Export.
