How to Track Items by Serial Number


This guide will show you how to use custom fields to track and manage your inventory by serial number, giving you item-level precision and control.


Step 1: Create a Custom Field for Serial Numbers


To get started, you'll need to create a custom field for your items. This is a one-time setup.

  1. Navigate to Settings > Custom Fields.
  2. Click Add Custom Field.
  3. Name the field "Serial Number"
  4. Save your new custom field.


Step 2: Add or Update Items


When you add new inventory to the system, you can now input the serial number.

  • Manual Entry: When creating a new item or editing an existing one, locate the "Serial Number" custom field and type the unique number.
  • Scanning: For efficiency, you can use your device's camera or a barcode scanner to scan the item's barcode or QR code. The serial number will be instantly captured and logged in the custom field.


Step 3: Search and Find


The real power of serial number tracking is the ability to instantly find an item.

  1. From the main search bar in the app, type in the serial number of the item you're looking for.
  2. The system will quickly find the exact item record from your custom field.
  3. Click on the item to view its complete details, including its current location, history of movements, and any other custom fields you've added.
